1. Context and Challenge

Gannon University uses a mission critical and enterprise-wide software to automate and streamline the ethical review process for research studies involving human subjects, ensuring compliance with regulatory and ethical standards. Principal Investigators (PI) and researchers may use the software to collaborate, create, edit, track, upload documents, and submit IRB protocols. IRB members and chairperson can preview, route, assign, and approve submitted protocols. An integrated dashboard empowers IRB administrators and University management to visualize data, generate report, manage users, provide oversight on IRB processes, and collate data to support regulatory compliance. The first version of the software was created in 2017 and deployed for use in Gannon University (GU) in 2018. In recent times, the software has experienced the following problems:

Increased user complaints and negative feedback, 6 in 10 of user feedback are complaints or negative.
Low user rating, average rating of 3.1 stars within the past 3 years
Declining user engagement, 37% of users start but don’t complete their protocol, and reviewers are reluctant to complete reviews.

2. Methodology and Findings

My team utilized usability testing and qualitative analysis to uncover 3 key factors that contributed to the above problems. These factors are as follows:

Unoptimized and inefficient workflows increase the time taken to complete critical tasks such as creating, reviewing, and modifying IRB protocols. For instance, the average time to create a new IRB protocol in the software was about 30 minutes.
Complex navigations together with unclear instructions increasingly frustrate and confuse users, making the software very difficult to use.
Poorly implemented constraint enforcement, and inconsistent validation checks reduces intuition in error handling. Feedback and error messages are not always clear, concise, and visible with the current version of the software

3. Recommendations

Recommendations included workflow and process optimization, redesigned navigation structure, and implementation of new features to enhance input validation, error handling, and accessibility. Based on these recommendations, the software was redesigned and revamped with updated workflow, navigation, and functionalities, addressing the 3 problems above

4. Solution and Impact

Recommendations from this research led to workflow optimization, and total revamp of the IRB software, resulting to substantial increase in user satisfaction, decreased time to tasks, and reduced customer complaints. Attracted new customers, and uncreased usability. Results from testing the redesigned software show notable progress and impact:

Reduced Time to Tasks: the time required to perform critical IRB tasks (e.g., protocol completion, modification, and review) reduced by 33%.
Increased User Satisfaction: Redesign of navigation, validation check, and error handling functions significantly increase usability and user satisfaction. User complaints and negative feedback have reduced significantly from 6 to 2 negative feedback out of every 10 feedback within the first 6 months.
Study underway to analyze 1-3-5-year impact on customer retention, market share, and profitability.
